Weekly Summary

The Weekly Summary was designed to be completed at the end of each field training week.

Weekly summaries are comprised of completed DORS and Supervisor/FTO input content.

Why does our agency's weekly summary look different?

The COPFTO Weekly Summary is a customizable form.  This article is based upon the Coaching Models default weekly summary. Your weekly summary may contain different sections of content if your agency has customized your weekly summary.

Weekly Performance Summaries are filled out by Supervisors and sent to Probationers for Acknowledgement, however some agencies have chosen to allow FTO's to complete weekly summaries.

2024 Workflow Enhancements

Until we release our workflow enhancement, expected Summer 2024, Weekly Summaries require two approvals/signatures.

  • The person filling out the summary (Supervisor or FTO)
  • The probationer.

Until we release our workflow enhancement, expected Summer 2024, if a weekly Summary is completed by a Supervisor, FTO's do not sign off on, or have any part in workflow on the Weekly Performance Summary.  (While they do not participate in creation of the summary, FTO's still participate in the Weekly Performance Summary Meeting)

Creating a new Weekly Summary

FORMS ⇒ Weekly Performance Summaries

Supervisors are able to select which DORs they want to include in the Weekly Performance Summary.

A DOR must be completely through workflow and signed off by the FTO, Probationer and Supervisor to be available for a Weekly Performance Summary.

  • From the MAIN NAVIGATION select FORMS ⇒ Weekly Performance Summaries
  • The page you are taken to is made up of three sections.
    • Active Performance Summaries - Any currently active summaries (not yet completed) Simply click on the summary to open it back up for editing and Completion.
    • Completed Performance Summaries - The last five completed summaries. Completed Performance Summaries For reference and to help prepare future Weekly Performance. Simply click on one to review that summary.
    • Begin New Weekly Summary - The form to begin a new Weekly Performance Summaryweekly-summary-1.png
  • To begin a new Weekly Performance Summary, use the Begin New Weekly Summary form on the right side of the page, check the DORs you wish to include in the summary, and click the Begin Weekly Summary button.For convenience you can also use the check all box to include all available DOR's.weekly-summary-2.png
  • Details - The Details Section is a non-editable section containing the major variables for the summaryweekly-summary-details.png
  • Daily Observation Reports - A list of the DORs, and the details of each DOR, that are included in this Weekly Performance Summary. weekly-summary-dors.png
    • To remove a DOR from the Summary, use the Red X to delete the DOR [ X ].  You will be prompted to confirm removal of the DOR.weekly-remove.png
    • To add a DOR to this Summary, use the Blue Add button at the top right of the section [ + ADD ]. You will be prompted to select the DOR you wish to add.weekly-add.png
  • Category Totals - This Section is a list of the Performance Assessment Categories and the assessment totals the probationer has received in each category based upon the DOR's included in this Weekly Performance Summary. Your responsibility in this section is to determine if the Training Time Was Proportionate for each Performance Assessment Category and indicate that using the Yes No Radio button. For your convenience, COPFTO automatically calculates the Total Training Time for each SEG.weekly-summary-category-totals.png
  • Daily Training Plan Review - Answer the questions using the Yes No N/A radio buttonweekly-summary-dtp-review.png
  • Instructional Tools utilized This Week - You may enter a comment in the field provided.Next you answer the questions with Yes / No radio buttons. Finally you may enter comments into the space provided. For convenience, COPFTO automatically pulls the Instructional Tools documented in the Performance and Training Sections of the DOR and lists each one with the number of times the tool was used.weekly-summary-instructional-tools.png
  • Directed Patrol Activity for the WeekIndicate if the Daily Patrol Plans were reviewed using the Yes No Radio button and then you may enter comments as necessary into the remaining four areas.Next, narrative space is provided to document the default sections of Location Oriented Patrol Hot Spots, Traffic Enforcement Hot Spots, Perpetrator Oriented Patrol - Target Photographs, and Field Interview Contactsweekly-summary-activity.png
  • Custom Content - If your agency customized the weekly summary you may have several areas of custom content that should be completed as necessary.weekly-summary-custom.png
  • Files - if your agency use the files section, you may upload files to attach to this Weekly Summaryweekly-summary-files.png

    Save - Saves the summary, closes it and returns you back to the main Weekly Summary PageUpdate - Updates the Weekly Summary and reloads it to continue working on itComplete - Completes the Weekly Summary and sends it to the Probationer for Acknowledgement

Modifying an existing Weekly Summary

ONLY the supervisor who is assigned the Weekly Summary can modify the DORS and Complete the Summary.

You can modify a Weekly Summary as long as it is in an editable mode. 

If the Summary has been sent for approval or is complete, it will no longer be in editable mode.  The only way to make it editable again is to reactivate the Summary.  Please see our article on Reactivating A Weekly Summary (link below).

Please be aware, while other supervisors can modify the text areas of others Summary's, ONLY the supervisor who is assigned the Weekly Summary can modify the DORS and Complete the Summary.
